The Room We Actually Ran: Regency Management Services Gala
As the corporate gala DJ for Regency Management Services (RMS) in Greenbelt, MD, we ran their team gala. RMS is a repeat client: we also host and DJ their sales kickoff. A gala asks for a different energy than a kickoff. The room is celebrating, so the music and sound carry the night while the program moments land on time.

Why an Executive Gala Is a Different Room
An enterprise gala is not a party with better catering. Board members, LP representatives and senior leadership read every detail of the evening as a signal about the organization, whether anyone intends that or not. Music choice, timing and how cleanly a handoff happens all get filed away as judgment, so the room has to feel deliberate from the first fifteen minutes.
How We Run an Executive Gala
Before the event
We coordinate with whoever is actually running the event on the client side, which at this level is often an executive assistant or chief of staff rather than the event planner alone. VIP arrival timing, seating, and any photography or confidentiality restrictions get settled before load in, not discovered on site.
Day of
We arrive early, test everything, and walk the room with whatever AV, lighting or video production team is already engaged. High end executive events usually mean more vendors on the same cue sheet, and somebody has to own the timing across all of them.
During the program
Recognition moments, remarks and transitions get cued to the second. Nothing improvised. A room full of board members and institutional shareholders notices a fumbled handoff in a way a general audience does not, and that impression outlasts the evening.
After the final segment
We keep the close as deliberate as the open, then debrief in writing within a few business days: what worked, what to adjust, and what to carry into next year’s event.
What Confidentiality Actually Requires
Executive events often run under NDA. That means signing one when asked, checking what can be photographed before the camera comes out, handling sensitive remarks with discretion, and never posting about the event without written permission. It sounds obvious until a vendor treats it as an afterthought and the relationship ends over a single social media post.
What We Need to Program It
- Who on the client side actually owns the event: planner, EA or chief of staff.
- Any NDA, photography or confidentiality requirements in writing.
- The other production partners in the room and how cues get shared.
- Whether the evening includes a recognition or legacy moment.
- Insurance requirements, since executive events typically expect coverage well above standard corporate minimums.

Questions We Get
What does an executive gala cost?
Executive level bookings typically run $6,500 to $15,000 for a single event, depending on program length, coordination scope and confidentiality requirements. Multi day executive programs run higher.
How far in advance should we book?
We recommend four to six months out for executive events. Premium venues and experienced operators both fill up early.
Do you handle MC duties as well as the music?
Yes. We coordinate with the emcee across the full program and can hold the mic for key recognition moments when that is the better fit.
Next Step
Send us the run of show, the other vendors involved and any confidentiality requirements. We will tell you where the evening needs a rehearsal and where it does not. See our gala and awards services or check availability for your event.
